Role Overview:
The position of Senior Sales and Office Administrator is an office-based role, at the FluidOne Brighton branch, which operations as a local IT provider and MSP for the southeast of England.
Responsibilities include managing sales enquiries, preparing quotes, coordinating with technical teams, maintaining accurate records, and handling general administrative tasks to keep the office running efficiently. The ideal candidate will have excellent communication skills, a keen eye for detail, and the ability to prioritise in a fast-paced environment. This is a fantastic opportunity to contribute to a growing business and play a key role in delivering outstanding service to our clients.
The responsibilities may develop to include/overlap with other branches of FluidOne IT, as the business integrates systems and processes.
Role Responsibilities:
Sales Administration:
- Produce accurate sales quotations for customers in a timely manner.
- Process customer sales orders and ensure all details are correct.
- Respond to and follow up on sales enquiries via email and telephone.
- Prepare and manage renewal quotations for ongoing services and contracts.
Billing and Financial Management:
- Manage Office 365 billing and subscriptions for customers.
- Handle Azure billing and ensure accurate invoicing.
- Prepare and process sales invoices and manage customer billing cycles.
Procurement and Supplier Liaison:
- Purchase hardware and software from approved suppliers.
- Order broadband, leased lines, and web hosting services as required.
- Maintain commercial relationships with manufacturers and suppliers to secure best terms.
Contract and Domain Management:
- Manage contract renewals to ensure continuity of service.
- Handle domain renewals and maintain accurate records.
- Register support packs and ensure customers receive appropriate coverage.
Office and Stock Management:
- Answer incoming telephone calls and direct them appropriately.
- Manage goods-in processes, stock control, and organise courier collections and deliveries.
- Cover colleagues’ duties during holiday periods to maintain service levels.
Collaboration and Development:
- Liaise with other departments and attend meetings to support business development.
- Attend training sessions to develop relevant knowledge and skills for the role.
Role Requirements (Desirable):
- Previous experience in both sales support and customer-facing roles within an IT MSP.
- Familiarity with CRM and sales tools.
- Knowledge of IT services such as cloud, security, and managed services.
